POSITION DESCRIPTION: Assist in the district office files area with
the maintenance, accessioning, reference and retrieval of active,
semi-active departmental records held by the records/files area.
Scan, quality check, index and commit documents to the optical
imaging storage system. Prep documents for either optical or hard
copy storage.
Assist in the transfer of cartons to the State Records Center
and/or the State Archives and complete necessary paperwork.
Coordinate the disposal of records help by Records Storage that
have been approved for destruction and complete the necessary
paperwork. Ensure that destruction is in compliance with applicable
records retention schedules.
Assists the mailroom staff in processing all incoming/outgoing
mail; processes UPS packages using computerized program and hand
delivers mail to staff in the District Office. Serves as the
relief/back-up for the front desk receptionist.
Assists with paying vendor invoices, filing, typing correspondence
and making photocopies. Provides complete back-up of all duties in
the Administrative Assistant/Archivist absence.
Assist the manager in the electronic imaging area with data
processing work flow, maintaining run documentation and operational
records. Assist in the day to day system monitoring activities such
as software, hardware components of the Document Control Imagining
Storage System. Ensuring that down time is kept at a minimum and
take appropriate corrective action when necessary.
KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of personal computer;
records retention requirements; the methods of organizing and
presenting data. Ability to communicate effectively; collect,
record and analyze data relating to records; understand and apply
applicable rules, regulations, policies and procedures; perform
manual labor which includes bending, reaching, kneeling, pushing,
and pulling. Knowledge of the methods of organizing and presenting

OTHER JOB RELATED REQUIREMENTS: Due to the nature of this position,
incumbent must respond to emergencies.
MINIMUM QUALIFICATIONS: High school diploma or equivalent and able
to lift (50) pounds.
